How to Choose a Printer

If you don't have any printers installed on your device, please see this article first: How To Add a Network Printer

When you need to print your document, use the [CTRL]+[P] command to open the printing function. This is a universal shortcut for Windows devices which opens the print window, where you can select which printer to use.

Using the drop-down menu, select your printer. If you do not have any printers installed, please refer to the linked article for instructions. On the image above, the printers are named PRNP2-309-103BW and PRNP2-309-121C, which tells you in what room the printer(s) are located and whether they print in black and white or colour. The letters BW designate a black and white only printer; the C designates a colour printer. Select the black and white option unless colour is mandatory.

How to Force B&W Printing

If you only have a colour printer installed, you can use the printer properties to force the printer to print in black-and-white, which saves toner and reduces the cost of printing.

  1. Select the printer that you'd like to use.
  2. Click 'Printer Properties'.
  3. If you only have a colour printer available click the 'Gray Scale' radio button under 'Select Color' then click 'OK'.
  4. Click 'Print' to print your document.

The same options are available when printing from other formats, such as a PDF or from the web, they just might look a little different:

From the Web (using the Edge browser):

How to Save Toner When Printing

Regardless of whether you're printing in black and white or colour, you can reduce the amount of toner that is used each time you print. The Toner Save option reduces the amount of toner laid down without drastically affecting print quality. This also helps if you have a printer that jams easily, as the paper going through the rollers is lighter and less saturated with ink.

  1. Select the printer that you'd like to use. Click 'Printer Properties'
  2. Select the 'Quality' tab.
  3. If you only have a colour printer available, click the 'Gray Scale' radio button; this will make the printer print in black and white.
  4. Tick the 'Toner Save' box
  5. Click 'OK' to print.
