Make changes to shared inboxes or distribution groups
All CNC students and members of staff are provided with an college email account. These articles and forms will give you more information about your email account, as well as allow you to request the creation of a shared mailbox, and learn about how to manage distribution groups, so that you may communicate with many people at the click of a mouse.
Distribution Groups
In most cases, Distribution Groups (DGs) can be created and managed by departments without IT involvement. If you need a DG for a small team, project, or department, you can create and maintain it yourself. IT can provide guidance if needed, but does not typically create or manage department-owned DGs.
If you need access to a DG that you would not normally be a member of, your manager can submit an Exceptional Access Request Form to request that you be granted temporary access. DG owners can also manage membership directly without IT assistance.
If you own a DG, you can add and remove members and manage the group without contacting IT, provided the group does not contain students and all members can be found in the Global Address List (GAL). Please see the related articles for instructions.
IT recommends using Teams or Moodle to communicate with groups of students.
Note: IT-created Distribution Groups are reserved for specific organizational or technical requirements where centralized management is appropriate.
Shared Mailboxes & Calendars
IT can create a shared email address, or mailbox, for your department or group. These allow multiple users to read and send email messages and can be used to provide a shared calendar for easy scheduling. Managers may use the forms on the right to request the creation of a new shared mailbox, or to request access to, or revoke access from a shared mailbox. These requests cannot be granted without manager approval.

Managers may use this form to request that access to a shared mailbox be closed.
